    File Management: Organizing Your Computer

Learn how to create folders, move files, and keep your computer organized and clutter-free.

    1

    Understanding files and folders

    ~15s
Files are your documents, photos, and downloads. Folders are containers that organize files — like physical file folders in a cabinet. You can put folders inside folders for detailed organization.
    2

    Create a folder structure

    ~15s
Create main folders: Documents, Photos, Medical, Financial, Personal. Inside each, create subfolders. Example: Financial > 2026 Taxes, Financial > Insurance, Financial > Receipts.
    3

    How to create a folder

    ~15s
Windows: Right-click in File Explorer > New > Folder. Mac: Right-click in Finder > New Folder. Name it clearly — "Tax Documents 2026" is better than "Stuff."
    4

    Move and copy files

    ~15s
Windows: Cut (Ctrl+X) to move, Copy (Ctrl+C) to duplicate, Paste (Ctrl+V) in new location. Mac: Use Cmd instead of Ctrl. You can also drag and drop files between folders.
    5

    Name files clearly

    ~15s
Good names: "2026-Tax-Return.pdf," "Mom-Birthday-2025.jpg." Bad names: "Document1.pdf," "IMG_3847.jpg." Clear names help you find files months or years later.
    6

    Use search

    ~15s
Can't find a file? Windows: Press ⊞ Win+S and type the filename. Mac: Press +Space (Spotlight) and type. Search is faster than browsing through folders.
    7

    Clean up regularly

    ~15s
Delete files you don't need. Empty the Recycle Bin (Windows) or Trash (Mac) to free up space. Uninstall programs you no longer use. Set a monthly reminder to tidy up.
