    How to Use a UPS Battery Backup During Outages

    Pick the Right Size UPS for What You Want to Protect

    Before you buy, walk through the house and write down every device you want to keep running during a power outage. Common picks for rural seniors are a wifi router (10 watts), a satellite or cable modem (10 watts), a desktop computer (200 watts), a monitor (30 watts), a CPAP machine (60 watts), an oxygen concentrator (350 watts), and a desk lamp with an LED bulb (10 watts). Add the wattages together. For example, a router, modem, lamp, and CPAP add up to 90 watts. Multiply by 1.5 to get a safe size. In this case, you want a UPS rated for at least 135 watts of output. Convert watts to VA by multiplying by 1.4: that means a 200 VA model would be too small. A 600 VA model with a real output of 360 watts gives plenty of room.

    Warning

    Never plug a laser printer, a space heater, a microwave, or a refrigerator into a UPS. These devices draw too much power and will overload the battery instantly.

    Buy From a Reputable Store and Charge Before First Use

    Order the UPS from Amazon, Best Buy, Lowe's, Home Depot, or Staples (in store or online). When the box arrives, open it on a table and read the quick-start card. Some models ship with the battery already inside. Others have a small plastic tab you need to pull out to connect the battery. Look at the back of the unit. You will see two rows of electrical outlets. One row is labeled "Battery Backup" and the other is labeled "Surge Only." The battery row keeps things running during an outage. The surge-only row protects from electrical spikes but does not run on battery. Plug the UPS into a wall outlet and let it charge for at least 6 hours before you plug anything else into it. A small light on the front turns from blinking to steady once the battery is full.

    Plug Important Devices Into the Battery-Backed Outlets

    Once the UPS is fully charged, plug the wifi router, the modem, and one or two other small devices into the outlets labeled "Battery Backup." Plug bigger or less critical devices (a printer, a paper shredder, a desk fan) into the "Surge Only" outlets. Do not plug any heating, cooling, or motor-driven device into the UPS at all. Once everything is plugged in, press the power button on the front of the UPS to turn it on. Each device should come on as usual. Some UPS models show how many minutes of battery you have left on a small screen on the front. For example, "Estimated runtime: 47 minutes." Write the number down on a piece of tape and stick it to the side of the unit. Check the number every few months to see if it is dropping over time.

    Test by unplugging the UPS from the wall and watching for at least 30 seconds. Every device plugged into the battery row should stay on with no flicker. If anything goes dark, move it to a different outlet on the UPS.

    Set Up the UPS Software for Auto-Shutdown of Computers

    If you have a desktop computer plugged into the UPS, install the free software that came with the unit. APC calls it PowerChute, CyberPower calls it PowerPanel, and Tripp Lite calls it PowerAlert. The software runs on Windows and Mac and connects to the UPS through the USB cable that came in the box (plug one end into the back of the UPS, the other into the back of the computer). Open the software once it is installed. Set the option that says "Shut down computer automatically when battery drops to 10 percent." This means if the outage lasts a long time, the computer saves all your documents and turns off properly instead of dying mid-task and losing your work. You only need to set this once; the software remembers.

    If a child or grandchild can help with the software setup, that is the easiest path. The UPS works for routers and CPAP machines even without the software.

    Test the UPS Twice a Year

    Twice a year, on April 15 and October 15 (the same days as your emergency kit check), test the UPS. With everything plugged in as normal, walk to the wall outlet that powers the UPS and unplug only the UPS cord from the wall (not the devices). Watch and listen. The UPS will start beeping; that is normal. The devices plugged into the battery row should stay on. Let the test run for 5 minutes, then plug the UPS back into the wall. The beeping should stop. If the runtime number on the screen is more than 25 percent lower than the first time you wrote it down, the battery is starting to wear out. Most UPS batteries last 3 to 5 years before needing a $40 to $80 replacement battery.

    Warning

    Do not let the UPS battery drain all the way to zero during a test. Plug it back in once you confirm the runtime number. So you do not shorten the battery's life.

    Replace the Battery When the Runtime Drops

    When the runtime on the UPS screen drops below half of the first reading, or the UPS itself starts beeping more than once a month with no outage, the battery needs to be replaced. The whole UPS does not need to be replaced. Only the battery inside. Each brand sells a replacement battery kit (APC RBC-series, CyberPower RB-series, Tripp Lite RBC-series) with the right part number printed on a label on the back of your unit. Order the matching battery from the same brand. When the new battery arrives, follow the instructions on the included card: turn off the UPS, unplug it from the wall, open the front or back cover, slide the old battery out, slide the new one in, close the cover, and plug the UPS back in. Charge for 6 hours before using.

    UPS units come in three common sizes for home use. A 350 VA to 600 VA model is the smallest, costs $60 to $100, and runs a wifi router and a desk lamp for 30 to 60 minutes. A 900 VA to 1500 VA model is mid-sized, costs $130 to $220, and can run a desktop computer, a router, a monitor, and a CPAP for two to four hours. A 2000 VA to 3000 VA model is the largest home size, costs $250 to $500, and can run a small office or a medical setup for several hours. Pick the size based on what you want to run, not by guessing big. The label on the back of any device shows the wattage. Add the wattages together and pick a UPS with at least 1.5 times that total.
