    How to Move Your Files from an Old Computer to a New One

    Pick the right method

    External hard drive: works universally, bulletproof, best for large libraries. Cloud storage: easiest ongoing, requires internet time and storage subscription. Direct cable/network: fastest and most thorough, but requires both machines present. Migration tool: most thorough if same OS (Mac to Mac, Windows to Windows).

    Method 1: External hard drive

    Plug a drive with enough free space (256GB - 2TB, USB-C is fastest) into the old computer. Copy these folders: Documents, Desktop, Downloads, Pictures, Videos, Music. On Windows also get your C:\Users\[You] custom folders. Eject the drive, plug into new computer, copy the same folders to their locations. Do NOT copy: Windows folder, Program Files, System32, Applications.

    Method 2: Cloud storage sync

    Install OneDrive, Google Drive, iCloud, or Dropbox on your old computer. Move your important folders into the synced folder (or use Known Folder Move in OneDrive to sync Desktop/Documents/Pictures automatically). Let everything upload — may take hours for photo libraries. On new computer, install the same app and sign in. Everything syncs down.

    Method 3: Mac Migration Assistant

    On new Mac during setup (or later in ApplicationsUtilitiesMigration Assistant), choose "From a Mac, Time Machine backup, or Startup disk". On old Mac, open Migration Assistant and choose "To another Mac". Both must be on same Wi-Fi (or connected by Thunderbolt cable for speed). Select what to transfer (user accounts, apps, system settings, files). Takes 30-60 minutes.

    Method 4: Mac Migration from Windows PC

    On the Windows PC, install "Windows Migration Assistant" from Apple's website. On the Mac, start Migration Assistant and pick "From a Windows PC". The two find each other on the same Wi-Fi. Mac pulls over Documents, Pictures, contacts, email, browser bookmarks, and some settings. Apps do not transfer (you reinstall those on the Mac).

    Method 5: Windows Backup

    On old Windows 10/11 PC: SettingsAccountsWindows Backup. Sign in to Microsoft account. Enable backup of Desktop, Documents, Pictures, app preferences, and settings. On new PC, sign in with the same Microsoft account during setup. Files and preferences restore automatically. Apps must be reinstalled from the Microsoft Store or websites.

    Do NOT copy these things

    Avoid copying: the Windows folder, Program Files, System32, the Applications folder on Mac, .dll files, any app installed system files. These are OS-specific and won't work on the new machine. Also skip temp files, log files, and obvious junk. Only transfer your personal files (documents, photos, videos) and reinstall apps fresh.

    Reinstall apps on the new computer

    Make a list of the apps you actually use. Download fresh installers from each app's official site (do not copy them). Sign in to each with your account — many apps (Adobe, Office 365, Chrome, 1Password) sync settings and data from the cloud. This is faster in the long run than trying to copy app data, and avoids bringing over old junk.

    When you buy a new computer, the most common question is: how do I get my files over? There are four main options, and the right choice depends on how much data you have and whether the two computers can be side-by-side. The four options are: external hard drive, cloud storage sync, direct cable or network transfer, and built-in migration tools (Windows Backup for Windows, Migration Assistant for Mac).

    External hard drive is the most universal method: plug an external drive into your old computer, copy your Documents, Desktop, Downloads, Pictures, Videos, and any special folders to it. Unplug, plug into new computer, copy over. Works across any operating systems. Takes longer for large libraries (~1 hour per 500GB), but totally reliable. Cloud storage (OneDrive, Google Drive, iCloud Drive, Dropbox) is slickest if your files are not too large — everything syncs automatically to the new machine once you sign in. Slow on poor internet. Limited on free tiers.

    Direct transfer via cable or network is the fastest when both computers are same-brand. Mac-to-Mac uses Migration Assistant over Wi-Fi or a Thunderbolt cable, transferring everything including apps and settings in about 30-60 minutes. Windows-to-Windows uses Windows Backup with a Microsoft account. Even more impressively, Mac Migration Assistant can migrate from a Windows PC too (transferring files, contacts, email). One big rule: do NOT copy system files, program files, or Windows/System folders — these are specific to the old machine and will not work on the new one. Only move your personal files and settings, then reinstall apps fresh.
