    Gmail Tips & Tricks: Organize, Search & Master Your Inbox

    Take control of your Gmail — labels, filters, search tricks, undo send, and keeping your inbox clean.

    Master Gmail search

    Gmail's search bar is incredibly powerful. Type a person's name to find all emails from/to them. Use "has:attachment" to find emails with files. Use "from:amazon.com" to find all emails from a specific sender. Use "older_than:1y" to find old emails. Use "is:unread" to see only unread messages. Combine them: "from:doctor has:attachment" finds emails from your doctor with attached files.

    Use labels to organize

    Labels are like folders, but better — one email can have multiple labels. Click the label icon (tag shape) on any email to assign a label. Create custom labels like "Medical," "Bills," "Family," or "Receipts" by clicking "Create new" in the label menu. Labeled emails appear in the left sidebar for easy access.

    Set up filters for automatic sorting

    Click the search settings icon (sliders) next to the search bar. Enter criteria (e.g., from: newsletter@company.com). Click "Create filter." Choose actions: "Skip the Inbox," "Apply label," "Mark as read," or "Delete." This automatically sorts future emails matching your criteria. Great for sorting newsletters, receipts, and notifications.

    Undo sending an email

    If you spot a typo or sent to the wrong person, Gmail lets you undo! Right after sending, a yellow "Undo" banner appears at the bottom. Click it within 5-30 seconds to cancel the send. To increase undo time: Settings (gear icon) → See all settingsGeneral → "Undo Send" → set to 30 seconds.

    Quick Tip

    Set undo to the maximum 30 seconds. You'll be grateful the first time you catch a mistake after hitting send.

    Keep your inbox clean

    Use the "Promotions" and "Social" tabs (SettingsInbox → enable categories) to separate marketing emails from personal messages. Unsubscribe from unwanted newsletters: open the email and click "Unsubscribe" next to the sender's name (Gmail adds this automatically). Archive old emails instead of deleting — they're searchable but out of your inbox.
