How to Get to Inbox Zero and Stay There

A cluttered inbox causes stress. Here is a simple system to get it under control in 30 minutes.

    1

    Unsubscribe from newsletters

    ~22s
Scroll through your inbox and find emails from companies or newsletters you never read. Open each one and look for the "Unsubscribe" link at the bottom. Click it and confirm. Do this for 15-20 newsletters and you will immediately notice fewer incoming emails.

    Quick Tip

In Gmail, search for "unsubscribe" to find all newsletter emails at once. Select all and delete, then unsubscribe from the ones that keep coming.

    2

Create 4 folders (and only 4)

    ~16s
Keep it simple. Create these folders: "Action Required" (things you need to respond to or do), "Waiting For" (things you are waiting on others for), "Reference" (important info you might need later), "Archive" (everything else). Move every email in your inbox into one of these folders.
    3

    Process your inbox daily

    ~17s
Spend 5-10 minutes each morning going through new emails. For each one, make a quick decision: Reply now if it takes less than 2 minutes, Move to "Action Required" if it needs more time, Move to "Waiting For" if you need a response from someone, Archive or delete everything else.
    4

Set up filters for recurring emails

    ~15s
Gmail: Click the three dots on an email > Filter messages like these > choose an action (skip inbox, apply label, delete). Outlook: Right-click > Rules > Create Rule. Filters automatically sort incoming emails so you do not have to.
