    How to Share and Collaborate on a Note in Apple Notes

    Apple Notes lets you share individual notes with family or friends so everyone can add to the same list or document in real time.

    Open the note you want to share

    Open the Notes app and tap on the note you'd like to share. If you haven't created it yet, tap the compose icon to write a new note first.

    Tap the share button

    Tap the button that looks like a person with a plus sign (top right corner of the note, or in the three-dot menu at the top). Choose "Share Note."

    Quick Tip

    On older versions of iOS, the share button may look like a box with an arrow pointing up instead.

    Choose how to invite

    A sheet appears asking how you want to invite people. You can share via Messages, Mail, or copy a link. Choose your preferred method. Then type in the name, phone number, or email address of the person you want to invite. Tap "Send."

    Set permissions

    Before sending, choose whether the other person can "Make Changes" (they can edit the note) or "View Only" (they can read it but not change anything). For a grocery list or shared planning document, choose "Make Changes."

    See who's in the note and manage access

    Tap the person-plus icon again to see who has access to the note. You can change a person's permissions or remove them from the note at any time. You can also stop sharing entirely by choosing "Stop Sharing."

    Quick Tip

    If the other person doesn't see the shared note right away, ask them to check their Notes app — it may appear in a new "Shared" folder.

    Apple Notes is more than a place to jot things down — it also lets you share individual notes with other people so you can all view and edit the same note together.     Once you share a note, the other person gets an invitation (sent via Messages or email). When they accept, the note appears in their Notes app and any changes either of you make will update for both of you right away. You can see who made recent edits and even add comments or mentions.

    You can also lock a shared note if it contains sensitive information — but note that locking removes the ability to collaborate until it's unlocked again.
