How to Find Any File on Your Mac Using Spotlight

Spotlight is the fastest way to find files, apps, contacts, and answers on a Mac — here's how to use it.

    1

    Open Spotlight search

    ~21s
Press and hold the Cmd key, then press the Space bar (+Space). A search bar will appear in the center of your screen. You can start typing right away — there is no need to click anything first.

    Quick Tip

Spotlight is the fastest way to find anything on your Mac. Once you get used to it, you will use it many times a day.

    2

Search for a file by name

    ~17s
Type the name of the file you are looking for (or even part of the name). Spotlight shows results instantly as you type. Use the up and down arrow keys on your keyboard to move through the results, and press Enter to open the one you want.
    3

    Open an app quickly

    ~15s
Type the name of any app — for example, "Safari," "Photos," or "Pages" — and press Enter to open it immediately. This is much faster than looking through your Applications folder or scrolling through the Dock.
    4

Search for words inside a document

    ~25s
Spotlight does not only search file names — it can also search for words inside your documents. If you remember a phrase from a letter or a note but cannot remember what you named the file, type that phrase into Spotlight. It will find documents that contain that text.

    Quick Tip

This is especially helpful when you saved a file with a name you cannot remember. Search for a word you know is in the document instead.

    5

Use Spotlight for quick answers and detailed searches

    ~22s
Spotlight can also do quick math (type "15% of 340"), convert measurements (type "5 miles in km"), look up definitions (type "define curious"), and show local weather. If you need more detailed search results, scroll to the bottom of the Spotlight results and click "Search in Finder" to open a full search window with extra filter options like file type, date, and size.
