    1

    Create a free Otter.ai account

    ~26s
Go to otter.ai in your web browser or download the Otter.ai app from the App Store (iPhone) or Google Play Store (Android). Tap "Sign Up" and create a free account using your email address or Google account. The free plan gives you 300 minutes of transcription per month, which resets each month. No credit card is required to start.

    Quick Tip

Quick Tip: Signing up with your Google account is the fastest option if you already have a Google or Gmail account.

    2

    Start recording a live conversation

    ~29s
Open the Otter app and tap the large blue record button (it looks like a microphone) on the main screen. Hold your phone near the conversation you want to capture. As people speak, the words will appear on the screen almost instantly. Tap the same button again when you are done to stop the recording. Otter will finalize the transcript within a moment or two after you stop.

    Warning

Always let everyone in the conversation know you are recording them. Recording a conversation without consent may be illegal depending on your state.

    3

Import an existing audio or video file

    ~26s
If you already have a recorded audio file — for example, a voice memo on your iPhone or a recorded video — you can upload it to Otter for transcription. In the app, tap the import or upload icon (usually shown as an arrow pointing up or a folder icon). Select your file and Otter will process it and create a written transcript. Processing time depends on the file length — a one-hour recording might take several minutes.
    4

    Read and search your transcript

    ~22s
Open any transcript from your Otter library by tapping on it. You will see the full written text with timestamps. Tap the search icon and type any word or phrase to find every moment it was mentioned. You can tap on any line in the transcript to hear the audio playback from that exact moment, which is helpful if you want to double-check what was said.
    5

Highlight important moments and add comments

    ~30s
Tap and hold on any sentence in the transcript to select it and add a highlight. You can choose different highlight colors to organize important points. Tap the comment icon on any sentence to add your own note, like "Follow up on this" or "Double-check this number." These highlights and comments stay with the transcript so you can find them later.

    Quick Tip

Quick Tip: Use highlights to mark action items from a meeting — then you can scan just the highlighted lines when you need a quick summary of what needs to be done.

    6

Share a transcript with someone else

    ~27s
Open a transcript and tap the share icon (a box with an arrow pointing up on iPhone, or three dots on Android). You can share a link that lets the other person view the transcript in their browser — they do not need an Otter account. You can also export the transcript as a text file or copy the text to paste into an email. This is useful for sharing meeting notes with coworkers or keeping a written record for a doctor's visit.

Otter.ai is an app that listens to conversations and turns the spoken words into written text automatically. This is called transcription. If you have ever wished you could go back and read exactly what was said in a meeting, a doctor's appointment, a class, or a phone call, Otter.ai makes that possible.

The app works in real time — as people talk, the words appear on your screen. After the conversation ends, you have a full written transcript you can search, highlight, and share. Otter also tries to identify who said what, labeling different speakers so you can tell voices apart.

The free plan gives you 300 minutes of transcription per month, which is enough for most casual users. If you attend a lot of meetings or record long conversations, the paid plans offer more minutes and extra features like automatic Zoom meeting transcription.

You can use Otter.ai two ways: you can record a live conversation directly inside the app, or you can upload an audio file you already recorded (like a voice memo) and Otter will transcribe it for you.

Otter.ai is useful for people who have trouble keeping up with note-taking during fast conversations, anyone who wants an accurate record of what was agreed upon in a meeting, students who want to review lectures, or caregivers who want to keep notes from medical appointments. The transcript search feature is especially handy — you can search for any word or phrase and jump right to that moment in the conversation.
