Printer Not Working? Fix Common Printer Problems

Step-by-step solutions for the most common printer issues — paper jams, offline errors, and more.

    1

    Printer shows "Offline"

    ~22s
This is the most common printer issue. First, make sure the printer is turned on (look for a power light). Check that it's connected: wired printers need a USB cable plugged in; wireless printers need to be on the same Wi-Fi network as your computer. On Windows: go to SettingsDevicesPrinters & Scanners → click your printer → "Open queue" → uncheck "Use Printer Offline."

    Paper jam

    ~26s
Open all accessible doors and trays on the printer. Gently pull the jammed paper out in the direction it would normally travel (usually forward, toward the output tray). Pull slowly and evenly — don't yank, as torn paper is harder to remove. Check for small torn pieces. Close all doors and trays, then try printing again.

    Warning

If the paper is stuck near the hot fuser unit (the part that heats the paper), wait a few minutes for it to cool before reaching in.

    3

    Print quality is poor

    ~27s
Faded or streaky prints usually mean low ink or toner. Check your ink levels: on the printer's screen (if it has one) or through the printer software on your computer. If ink levels look fine, run a "Clean Print Head" cycle: open the printer software → MaintenanceClean Print Heads. Try printing a test page to check if quality improves.

    Quick Tip

If you rarely print, ink can dry out in the nozzles. Run a print head cleaning once a month to prevent this.

    4

    Computer can't find the printer

    ~20s
On Windows: go to SettingsDevicesAdd a printer or scanner. Wait for it to search. If your printer doesn't appear, click "The printer I want isn't listed" for manual setup options. On Mac: System SettingsPrinters & Scanners → click "+" to add. For wireless printers, make sure both devices are on the same Wi-Fi network.
    5

    General restart fix

    ~33s
When nothing else works, the "power cycle" often does: 1. Turn off the printer and unplug it from the wall. 2. Wait 30 seconds. 3. Plug it back in and turn it on. 4. On your computer, restart the computer as well. 5. Try printing again. This clears the printer's memory and resets the connection.

    Quick Tip

Restarting both the printer and computer fixes the majority of printing issues. Always try this first before calling for help.
