Microsoft Outlook is one of the most widely used email and calendar programs in the world. It comes in two forms that can be confusing at first. Outlook.com is the free web-based email service — it works like Gmail but uses a @outlook.com or @hotmail.com address. The Outlook app is the full program that comes with a Microsoft 365 subscription and is also available as a free app on iPhone and Android.
If you want a free email address and calendar that you access at a website, Outlook.com is what you want. If you work for a company or school that uses Microsoft 365, your IT department has likely already set up an Outlook account for you and you use the Outlook app on your computer.
On Windows 11, Microsoft replaced the old Mail and Calendar apps with the new Outlook app in late 2024. It looks similar to the website version and connects to your Microsoft, Gmail, and other email accounts all in one place.
Outlook is more than just email. The Calendar feature lets you schedule appointments, set reminders, and invite other people to meetings. People can send you a calendar invitation and you can accept it directly from the email, and it automatically appears in your calendar. The Focused Inbox feature automatically sorts your most important emails to a "Focused" tab and moves newsletters and promotional emails to an "Other" tab, so your most important messages are easier to find.
Setting up Outlook takes just a few minutes, and once your account is configured you will have a reliable, organized place to manage all your email and appointments.
