How to Manage Your Email Like a Pro

Keep your inbox organized, reduce spam, and find important messages quickly.

    1

    Unsubscribe from junk

    ~15s
Scroll to the bottom of unwanted emails and click "Unsubscribe." In Gmail, click the Unsubscribe link next to the sender name. Do this for a week and your inbox will be much cleaner.
    2

    Use folders or labels

    ~15s
Create folders (Outlook) or labels (Gmail) for categories like Family, Medical, Bills, and Receipts. Move important emails into folders so you can find them later.
    3

    Search instead of scrolling

    ~15s
Use the search bar at the top. Search by sender (from:john), subject, or keywords. In Gmail, use "has:attachment" to find emails with files attached.
    4

    Set up filters

    ~15s
Automatically sort incoming email. In Gmail: Settings > Filters > Create New Filter. Route emails from your bank to a "Financial" label automatically.
    5

    Archive instead of delete

    ~15s
Archiving removes emails from your inbox but keeps them searchable. Use this for emails you might need later. Delete only true junk.
    6

    Check spam regularly

    ~15s
Important emails sometimes land in spam. Check your spam folder weekly. If you find a legitimate email, mark it "Not Spam" to train the filter.
    7

    Set up a signature

    ~15s
Add your name and phone number as an automatic email signature. Settings > Signature. Keep it simple: name, phone number, and optionally your city.
